Volunteer at the Forum and/or the Championship! (2009)

The World Pastry Forum and the National Pastry Team Championship depend on volunteers to succeed. We are looking for dedicated, committed people (perhaps you) to assist in a variety of tasks.

Assignments

Jobs are assigned based on a volunteer's level of commitment, available dates, experience, and timing. Assignments will be allocated on a first come, first served basis based on commitment and availability. The earlier you can commit, the greater the choice in assignments.

For example, if it has always been your dream to assist an M.O.F. in a class, you maybe be able to do that for 10 classes during the Forum – if you can also commit to be in our prep kitchens first thing the morning of Tuesday 6/30 (for mise en place with the chef) and there is still a need for assistants in those classes.

Or, if you really want to see a competition kitchen close up because some day you plan to compete yourself, you should consider volunteering to be a server because they have good visibility to the competition kitchens throughout the two days of the competition. However, to be a server you will need to attend a mandatory training/set-up session Monday morning, 7/6 at 8 am (and we may require your assistance all day to prepare for the competition, service, and assist the judges).

Schedule

Volunteers are needed from Monday, June 29th (load-in and set up day) through Thursday, July 9th (pack-up and load-out day). The most critical needs are:

July 7th - Competition Clean Up (3 pm until around 8 pm); and/or
July 8th & 9th - Pack Up and Load Out ( 9 am until finished/dismissed).

Kitchen Set Up

Monday 6/29: Volunteers are needed to help unload the equipment trucks and set up the Forum kitchens. The time to report to the volunteer desk will be 9 am. You will help until approximately 6 pm (or, until you’re dismissed by your assigned Carymax supervisor). Anyone working this day can wear a uniform, but you will get somewhat dirty so jeans, t-shirts and closed shoes are a good choice. If you need to arrive later in the day than 9 am, that’s OK but let the volunteer coordinator know when you expect to arrive, and come find us ASAP after you arrive.

Tuesday 6/30 is the Forum prep day. Some volunteers will be assigned to help chefs; others will be doing office or kitchen set up work (helping the Carymax “black shirts”). All assignments are critical to allow the event to start on time.

Unless you are given a specific start time by a specific chef ahead of time, please report to the volunteer desk at 8 am. Your help may be required until as late as 6-7 pm; specific chefs require volunteers stay later, if required.

Some volunteers will be assigned Tuesday (6/30) and Wednesday (7/1) to help Carymax set up the Forum kitchens, provide general office help, or do Forum student registration.

World Pastry Forum

Wednesday 7/1 - Sunday 7/5. Volunteers are needed to help with Forum, office/registration duties, clean up, event VIP sponsors, lunch ticket verification, evening seminar chefs, and BBQ dinner ticket takers.

The time to report will be 8 am, unless you have been otherwise instructed by whoever has been designated as your supervisor (a Carymax kitchen set-up person, the office manager, a chef, etc.). When your day is over, it’s over! During the 5 Forum class days, volunteers may expect to receive lunch.

Note for Sunday 7/5 Many volunteers are needed to help clean, pack up, and inventory the Forum kitchens. If you are local, please invite friends in Phoenix to come help on Sunday! This takes place from approximately noon until 8 pm; there is a party following (usually a poolside BBQ type event) to which you will receive an invitation.

National Pastry Team Championship Dates

Monday 7/6 and Tuesday 7/7. Volunteers are needed to help with the trade show, verify security badges on the competition floor, assist demonstration chefs, act as competition servers (and judging area assistants), take tickets during the awards ceremony and Gala dinner, and clean up before the Gala party on Tuesday evening. If you are local, or know anyone who could come help Tuesday afternoon with the post-competition kitchen clean-up/inventory/packing, please contact us.

In order to be a server, you must be available both days. Reporting time on Monday 7/6 is 8 am for a mandatory training session followed by set-up of the judging area/service pieces.

Pack Up Dates

Wednesday 7/8 and Thursday 7/9 . Volunteers are needed to help Carymax staff (“black shirts”) take down competition kitchens, inventory equipment, and reload the trucks. Dress is definitely jeans/t-shirts and closed shoes. Again, if you’re local and can enlist friends to help, that would be fantastic.

Record Keeping

When you have confirmed that you can make a specific time commitment, you will be given your assignment(s). With your assignment you will also receive a timesheet to track your hours during the forum and the competition. (A Carymax representative will initial it when you leave for the day. This is essential to be eligible for future Forum tuition discounts and other rewards.)

What to do if your plans change

Remember: the Forum and Competition relies on volunteers like you. If, for any reason, you cannot fulfill your volunteer assignment, in whole or in part, we ask that you notify us as soon as possible.

Once you have received your assignment, there will generally be no further communication until you arrive in Phoenix.

Accommodation

Please try to stay at the Marriott as this will keep you close to all the action - especially after hours networking - as well as help the producers of the event.

You should ask for the Carymax event room discount when you book through the Marriott (details on the competition website). Of course, accommodation becomes cheaper if you can find roommates (please post your requests on the community blog on the website). Packages for the competition, dinners, etc. are also available for your families through the website.

Compensation and Expenses

Carymax does not pay for air fare, hotel, room/board, reimburse personal expenses, or provide any form of stipend.

Depending on how many days you are available and the total number of hours you volunteer, you will be eligible for a variety of rewards including future World Pastry Forum Demonstration Program tuition discounts, staff meals during the Forum, and tickets to the Awards Ceremony and Gala Dinner. In particular, volunteers assisting with Pack Out are eligible for tuition discounts for the Demo Program in 2010.

Volunteers working a minimum number of hours will receive a ticket to the Gala party as a thank-you for your work (unless they are a no-show during the week or did not fulfill a commitment to Carymax).

You will also receive a letter of appreciation from Carymax, and of course, the event is a great networking opportunity.

Notes on Dress and Typical Questions

A chef uniform is always appropriate. Whites are preferred.

Jeans, t-shirts and closed shoes are acceptable for many assignments. If you happen to have an old Carymax t-shirt, you may always wear that. If you are on registration duty or any other task that requires sitting, convention centers can be cold and a chef jacket provides warmth.

Anyone helping a chef must always report in clean chef whites, with your own apron, closed black shoes, and chef pants of any kind. Bring an apron, but you will generally not require your own tools (and they may get lost). A sharpie is always good.

Please do not wear excessive makeup, nailpolish or jewelry/piercings (that goes for men, too).

During the competition, dress code is a clean chef uniform (aprons are not required unless you help a demonstration chef). If you are a server or judging area assistant, you should wear clean black pants (not jeans) and a pressed white button-down shirt; service aprons will be provided. No makeup/jewelry; hair must be restrained. Servers should arrive fully dressed so we can verify that you will be dressed correctly for the competition when it begins in the afternoon. The time to report will be 8 am unless you are assigned to help a chef in a demonstration kitchen earlier.

In addition to bringing jeans/t-shirts and full chef uniforms, it is hot in Phoenix. In prior years, have been able to swim at night. You will probably also wind up at a variety of BBQ style dinners and/or vendor cocktail parties, and the pastry Gala after the competition. Dress is usually casual, but also all over the place. Please check the website blog for updates/details prior to departure.

In prior years, the Marriott had free washing machines for guests!!! Ask if they still do when you book your room package; that could help in terms of how many chef jackets, aprons etc. you need to bring.

The Volunteer Desk

During the World Pastry Forum, the volunteer desk will be situated in the convention center not far from the main registration desk. Signs will be posted or ask a Carymax representative. During the National Pastry Team Championship, the volunteer “desk” will be moved to a location on the competition floor.

hello indar
its a good idea but before that u need to learn somany things about all the ingredients which u have to use in the bakery and pastry thoroughly .
I am sure and wish u one day u will go to the competition,representing sangli,kolhapur India....
